Baggage changes the vehicle decision
Record suitcases, cabin bags, pushchairs and equipment as well as passengers. A party of 18 might fit a Sprinter seating range, yet its actual luggage needs can make another category more suitable. Confirm storage on the allocated vehicle; never plan to block aisles or exits.
Share flight details
Provide flight number, date, airport, verified terminal and group coordinator. Landing time is not pickup readiness. Agree how changes are communicated, what waiting time is included and when any additional charge begins. Do not reuse a terminal from an earlier trip without checking.
Specify the meeting point

Allow for assembly, breaks, stops and the final hotel approach. Review suitable driving and rest arrangements. A Jeddah–Makkah transfer has a different scope from a multi-city itinerary involving Madinah or AlUla. Avoid treating a road-distance estimate as a guaranteed arrival time.
Clarify the quotation
Specify one-way or return travel, whether the vehicle waits, each day’s route and required departure times. Multi-city plans may involve driver accommodation, parking or access charges. The written offer should explain which items are included.
Balance comfort and price
Review seats, air conditioning, storage and boarding needs. Request charging or microphone equipment only where it matters, then confirm actual availability. Category images do not establish the equipment of every allocated vehicle.

Start with origin, destination, dates, passengers, bags, return arrangements and special needs. If the return time is uncertain, say so: the team can compare waiting with separate transfers before finalizing the scope.
